Our Experience with Katana MRP – Why We Left After 6 Years
We were early adopters of Katana MRP, using it as our primary manufacturing resource planning system for over six years. In the beginning, Katana delivered exactly what we needed - solid functionality, reasonable pricing, and an easy-to-use interface that worked well for a small manufacturer like us with modest sales order volume. Initially, the pricing was fair and manageable. But once Katana began taking on outside investment and aggressively scaling, things started to change. Over time, they revamped their pricing model multiple times. At first it was tied to relatively simple metrics like number of users, but later it shifted to limits based on sales order line items, then to sales orders and gross merchandise value (GMV). What sounded sophisticated in their marketing quickly became a huge headache for us: as a small shop selling mostly items around $10 each, our high order count, not our actual revenue, automatically bumped us into higher pricing tiers. So we ended up paying almost the same as companies doing $50 million+ in annual sales, despite using a fraction of the features and resources. We’ve also experienced price changes mid-subscription period without meaningful notice, and being forced into annual negotiations simply to keep our plan. Year after year, it became clear that the company didn’t care about smaller customers anymore: their strategy seems squarely aimed at upmarket customers with big order volume and deep pockets - which pits small manufacturers like us at a disadvantage. Frankly, the model feels punitive, not proportional. If your business sells a lot of small-ticket orders, you get punished with pricing far beyond the value you actually consume - and that’s simply not sustainable for a real small manufacturer. In the end, after dealing with repeated increasing costs and painfully going around in circles with account reps who didn't take the time to understand our business, we pulled the plug and took the time and effort to migrate to a different MRP that met all our requirements. It is faster, easier to use, and roughly ¼ of the cost of Katana’s current pricing. That switch has been night and day for our team - not only financially but also operationally. On the plus side, Katana made it easy for us to export our data and we performed the data migration and cut-over to the new system entirely in-house. Bottom line: Katana may still work for some companies, especially larger, growing SMBs with high-priced items and few orders, but for small manufacturers with many sales orders and modest item prices, their current pricing strategy simply doesn’t make sense anymore.

I just dropped them after 2 and a half years
I just dropped them after 2 and a half years. Their business model is based on how much money you bring in, not on something reasonable, like the amount of resources you consume (though they do have a metric for that, I believe under the starter package it was 50 orders per month). We're a small manufacturing company and only do a single weekly order. We were paying $200/mo for the starter package, but they thought we were making enough money that they would double our cost. We weren't using it to its fullest extent, really just sales/inventory tracking, which were good, to their credit. But to charge someone more just because they make more is a disgusting business model, IMHO. If you're a larger company and use more of their features and actually rely on them to get things done, it may be worth it. But it was just very disappointing to have to drop them for nothing more than, what appeared to be, greed.

Ridiculous pricing & T&C ever
We canceled the subscription, as it’s a simple SaaS tool. However, we were surprised to learn that it requires a 30-day notice period—something typically seen with full-time employees, not software. Honestly, it feels like we’re hiring a person, not using a tool. In my six years of experience, I’ve never seen a SaaS product require a notice period to cancel. It’s unexpected and unreasonable for a platform that can be turned off with a click.

I can only agree with the other reviews!
I can only agree with the other comments here. They keep changing their pricing, and they recently emailed to say they are about to DOUBLE my monthly subscription cost! Their reasoning is down to them claiming we have maxed out the allowed usage (based on sales data) . But the sales data field is buggy and useless we don't use it! When I first signed up 2 years ago the rate was already expensive but it had features no other software had. Now they are adding stupid features like "AI" that I have no use for, but suddenly want to increase our subscription cost by 2x and even more if you factor in the last 2 years. Avoid, I would but I don't have the resources or funds to switch software right now.
Made manufacturing our products 100 times easier and reduced our stock outs

Katana has helped us streamline our manufacturing processes to no end, before Katana we used old fashioned pen and paper and speadsheets to keep a track of our inventory. we had no information as to how ofen we were replenishing items but now all our decisions are backed by data. Having a product go out of stock happened mroe than we'd like to admit but with Katana and the safety stock calculation as well has having full visibility of all our products and materials at the click of a button this is no longer an issue.
Katana integrated with our Shopify website as well as out Xero accounting software enabeling us to easily create purchase orders and have our sales orders feed through automatically.
The customer support is fantastic and always proptly on hand to help with any and all issues that might arise. They also work to continually improve and add new features based on customer feedback.
We use Katana on a daily basis and would definitely reccomend to any other business wanting to better manage their inventory and manufacturing.

Katana was great when we were smaller and had fewer orders but we have encountered some growing pains as order volume and our size has grown. Some tasks that are unable to be automated have required lengthy and tedious tasks to be performed manually.

When I was searching for a management system for my production, I tried numerous programs and services, but none were as exceptional as Katana!
I use Katana every day, even when it's not necessary, because it’s as engaging as a fun game like Farmville—manufacturers will understand what I mean! :)
Everything about Katana is fantastic—the extensive functionality allows me to manage production at every level. We use Katana for creating production tasks, managing inventory of materials and components, order management, sending orders for packaging, automatically receiving orders from various platforms and our own website, registering orders with courier services through integrations, ordering materials, and automatically determining prices for B2B clients. All our employees work through the Shop Floor app, marking START and FINISH for various tasks, adding additional consumables as needed, reading production instructions, and always knowing what to do and in what order. All data is synchronized, and the costs for each product and component are automatically calculated based on labor costs, material prices, defect rates, and additional expenses such as material delivery, customs duties, or any other supplementary costs. The benefits of Katana could be discussed for days without a break, and the most important thing is that such an extensive functionality is designed so intelligently that using Katana is truly a pleasure!
Another huge advantage when we Integrate Katana into our production was the ease of importing virtually any data using CSV or Excel spreadsheets. Additionally, as we continue using the system, we have access to amazing features that simplify our lives, such as the ability to replace one material with another across all products with the click of a button, or automatic conversion of measurement units for material purchasing and usage. For example, we purchase screws in boxes but use them individually, so I always have everything in order both during receiving goods—everything matches the invoices—and in production, including tracking inventory levels.

Another crucial factor is the excellent customer service. The chat with Katana staff is always available, and any question can be answered within minutes. Their service is always very responsive and incredibly helpful!
What do you dislike about Katana Cloud Inventory?
I have nothing I dislike about Katana!
Of course, there are some small aspects I would like to see improved, such as:
The client card does not allow for the addition of a VAT number, which is important for European countries in the B2B sector.
The client's email address is only visible when you go into the client card; it would be much more convenient if it, like the phone number, were displayed directly on the sales order page.
There is a quick reordering function for sales orders that allows you to move orders up or down the list to change their priority, but this function is not available on the manufacturing order page. This means I have to manually drag an order from 654th place to 1st if it needs to be prioritized urgently.
There is no column for additional comments in the sales order table, so I have to open each order individually to see any additional notes.
In the sales order page, there is no column to display which products were purchased. I have to go into each item to understand what the client bought. It would be more convenient to see this information right away, at least in the form of the SKU code.
In the material cards, there is an option to specify a minimum order quantity, which is incredibly convenient. However, this feature is not available for production orders, and I would like to be able to indicate the minimum acceptable quantity for production items as well.
The status of the Manufacturing Order is set to "Blocked." Logically, this should completely hide the task from all employees, with only the Administrator able to see it. Unfortunately, only the name and color of the status change. To ensure that employees do not see the task, I have to remove them from the production tasks, and then re-add them if the task is unblocked later.
Overall, I wrote all of this mainly to bring it to the developers' attention. Katana frequently makes improvements, and I’m confident that these changes will be implemented very soon!
Additionally, none of these points are critical issues, and we have found alternative ways to work around each of them while continuing to use Katana effectively!

The biggest problems we solved with the help of Katana are:
Employees always know what and in what order they need to perform tasks.
I can plan production months in advance, freeing up time for other important tasks or rest.
All materials are always under control and ordered on time.
Cost calculation for goods is sensitive to changes in staff, material costs, the introduction of new equipment, etc. The cost of goods has never been calculated so accurately without hundreds of sheets in Excel.
All orders are in one place; there is no need for an additional CMR system or checking all platforms separately.

What do you like best about Katana Cloud Inventory?
The software is logical, functional & easily intergrated with our Xero software. It has allowed us to improve our costing systems & pick up those jobs that until now were being manufactured at a poor return
It also allows everyone in the organisation to be aware of all stages of our maunfacturing process . Our turnon around of taking orders to manufacturing then despatich them has gone from 7-10 days to 2-3 days.
THeother standout feature is the support. it is by far and away the best support I have experienced in any software program we have ever used. It is quick, it is detailed & it is pleasant. THat matters

The major down side is not being able to be able to store customer supplied documents (pdf or jpeg etc) against orders we create or against manufacturing cards inside Katana.

We really like Katana. We grew into it and it's been growing with us ever since we started using it in late 2020. It is pretty easy to use. It integrates with shopify and quickbooks. And, if you have any issues, their customer service is really helpful and tries to get it fixed quickly.

There are a few quirks and bugs that are minor, mostly with the integrations to shopify and QB that could be ironed out.

As someone that is quite familiar with manufacturing operations, especially the accounting side, I've found Katana to be quite easy to use and operate. I like the integrations (Shopify, QBO) and I am optimistic that they will work out the remaining bugs in the near future. Lastly, Katana Support has been amazing. They are a great group of people that really want their users to be successful.

There are some bugs in the Katana<-->QBO integration that we have not been able to work through. Katana has advised a custom development to bridge the gap and while this is helpful, it's not ideal.

It manages manufacturing workflows simply and integrates with Quickbooks for billing and invoicing. The developers work really closely with end-users to develop the product and add new features, meaning that many new features are relevant to our company.

Organising manufacturing orders list can sometimes get a little messy with lots of sub-assemblies as sorting is a manual drag-and-drop. However, if you organise work through the Task view it works better. Also, allocating the same task to several operatives only accounts the work to the first one who starts the task.

It manages inventory use when products are manufactured and speaks to Quickbooks, meaning that stock control is much simpler than before we had it.

It basically runs most of our business. If it had a CRM attached it would be perfect.

Katana simplifies the intricacies of variability in custom orders just as easily as keeping track of standard inventory. The recipes are the best!

Katana lacks a quick and easy way to tag stock items as damaged or on hold. It can be done using a location, but the standard package only allows 3 locations, and we need them all for actual warehouses.

Bait and switch in progress. Charged 5 times more.
The company not only drastically increased its pricing but also changed pricing terms which led to my subscription going from $800 to $4000. Despite calling me twice 30 days before the increase, they failed to mention that my next bill would be five times higher. There was no email communication either. So a year after I joined and set things up, the cheapest plan is now 2.5 times higher than my original subscription price. But wait, there is more :) Since they also changed the terms of pricing, my card was charged $4000 (5 times more than what I signed up for) this billing cycle. I messaged the company minutes after I was charged, but it's been five days and they are not refunding my money under some bs premises. My guess is their "success" team needs to keep churn stats low, so they do not look bad in front of the investors.

What do you like best about Katana Cloud Inventory?
Intuitive interface and relatively robust capabilities. The implementation is comparitively simple compared to comparable software that tends to require burdensome customizations. Also the customer support is top notch.

Sometimes wish there more features/customization options. While the restrictive nature of katana allows for realitvely easy implementations and integrations, there are small tweaks which could be made to make the program more tailorable to our needs.

great tool for inventory management and integrating front end sales platforms and accounting platforms. Has many more features than many so called integration apps out there, yet doesn't require the resources (money and manpower) that implmenting and administering an ERP such as netsuite

For us at www.musheez.eu we have to track batches of premium organic mushroom extracts. traceability is a key requirement for our clients. The simple interface and funtionalities (once you learn how to use them) means we have been able to scale our business without adding xtra personnel and worrying if we missed something.
Client support is very good. Integartion with Qb, Shopify and Woocomerce is simple and works.
